General principles

  • Any PhD student registered at DSV is by default a member of the DSV PhD Student Board and can attend the meetings of the board.
  • The DSV PhD Student Board should consist of at least one representative from each department.
  • The DSV PhD Student Board appoints one representative at SU’s central PhD Student Council (Centrala doktorandrådet).

Elections & Appointment of elected members

  • Elected members have a one year duty (solar year, January 1st – December 31st).
  • Elections take place at the last meeting of each solar year.
  • Elected members cannot have multiple roles if there are enough people to fill those.
  • All DSV PhD students are eligible candidates; those graduating within the coming solar year are excluded.
  • Elected members (4) must appoint the roles among themselves (President, Vice President, Secretary, Treasurer).
  • Elected members must appoint:
  • At least 1 representative at DSV’s School Board (plus 1 substitute), both to be registered with the DSV’s secretary.
  • At least 1 representative at Stockholm University’s Central Student Union (plus 1 substitute), both to be registered with the Central Student Union.

Voting

  • For the annual election to appoint elected members, an electoral committee should be appointed by all attending PhD students and must consist of at least one member (must be a DSV PhD Student). None of the members of the electoral committee are eligible members for any chair.
  • A public announcement calling for elections should be made at the DSV PhD Student Board’s blog (http://phds.dsv.su.se), 3 weeks in advance (e.g. the minutes of November’s meeting should be calling out for elections to take place during the following final meeting, in December of the same solar year).
  • For regular DSV PhD Board decisions, the Secretary keeping minutes plays the role of the electoral committee during sessions.
  • All DSV PhD Students are eligible voters.
  • On the event of equal numbers of votes casted, the President’s vote counts double.

Elected chairs for the DSV PhD Student Board

  • President (the position cannot be appointed to the same DSV PhD student for two years in a row; a rotation of people for this chair is mandatory)
  • Vice President
  • Secretary
  • Treasurer

The President of the DSV PhD Student Board has the following duties

  • Confidentiality duty towards DSV PhD students who discuss problematic situations related to PhD professional life, as long as the PhD student does not allow explicitly the President to make the case public. Violating the confidentiality issue comports the immediate quitting of the President role.
  • Organize and lead the PhD Student Board meetings at least once per month.
  • Promote social activities for PhD students.

The Vice President of the DSV PhD Student Board has the following duties

  • Confidentiality duty towards PhD students who discuss problematic situations related to PhD professional life, as long as the Ph.D. student does not allow explicitly the Vice President to make the case public. Violating the confidentiality issue comports the immediate quitting of the Vice President role.
  • Help the President in to organize the PhD Student Board meetings at least once per month.
  • Help the President promote social activities for PhD students.

The Secretary of the DSV PhD Student Board has the following duties

  • Report the minutes of the PhD Student Board meetings:
  • Keep a record on google documents/google wave, available to all interested (view mode)
  • Publish them on the DSV PhD Student Board blog.
  • Keep the blog updated by posting announcements, news, seminars and any sort of information to the interests of PhD Students as decided by the board.

The Treasurer of the DSV PhD Student Board has the following duties

  • Be responsible for handling the financial support coming from the department or other sources in order to organize and support activities for PhD students.
  • Authorize or deny the use of money.
  • Provide annual budget report.

The representative at the DSV School Board has the following duties

  • Attend the meetings of the School Board, represent and stand for the DSV PhD Student Board views, even if in contrast with personal opinions.
  • Report back to the DSV PhD Student Board.

The representative at the Stockholm University Central Student Union has the following duties

  • Attend the meetings of the Central Student Union, represent and stand for the DSV PhD Student Board views, even if in contrast with personal opinions.
  • Report back to the DSV PhD Student Board.

DSV PhD Student Board meetings

  • Meetings should be taking place once per month on regular intervals (e.g. first Wednesday of the month)
  • During the summer there should be an agreed period of inactivity due to holidays.
  • All dates should be made available through the established & shared google calendar which is published though the blog.

Modification of this Statute requires the consensus of all 4 elected DSV PhD Student Board members.
